Part-time Executive Assistant
The American Jewelry Design Council is searching for a new Executive Assistant to be the main contact between AJDC members and the jewelry industry as directed by the President of AJDC.
The Executive Assistant will also manage the AJDC’s social media accounts, databases on various platforms, coordinate events and manage logistics for our annual design project.

SKILLS
- Excellent written and oral communication
- Excellent organizational skills
- Proficient in data management in Excel spreadsheets
- Experience in project management
- Experience in event planning
- Experience hosting Zoom meetings is a plus
- Experienced in formatting images for website, social media and print, Photoshop or Lightroom basic skills are a plus
- Must have a minimum of 5 years of work experience
- Experience in the realm of non for profit work and art welcome but not necessary
DUTIES
Assist AJDC President
- Plan all meetings and agendas, in person and by zoom
- Schedule zoom meetings and make sure members are aware of meetings
- Assist Secretary with minutes
- Keep all files and documents for AJDC
- Gather all BOD reports
- Assist Treasurer when it is time to send membership invoices
Committees
- Assist committee chairs as needed
- Serve on committees as a guest when asked
Membership
- Maintain member database and mailing lists.
- Work with New Member Committee chair to create information for the evaluation of candidates
- Prepare compelling new member Power Point presentations.
- Facilitate general membership meetings for introducing, reviewing and voting on new members over zoom.
Social Media
- Check AJDC member pages on Instagram and Facebook daily to repost member posts and regularly create new posts approximately every 48 hours.
Newsletter
- Develop topics, write articles, find links and photos and edit drafts.
- Survey membership for news and events.
- Maintain newsletter mailing lists.
- Schedule and send email of newsletter.
Events, ceremonies and retreats
- Help with retreat planning and facilitate all communications for retreats.
- Keep attendance lists for retreats.
- Arrange for hotel bookings, restaurants and any other reservations.
- Assist the Chair of the Retreat Committee.
- Assist in organizing and facilitating AJDC award ceremonies, retreats, meetings and other events.
Annual Themed Design Projects
- Work with Project Theme Committee chair to communicate with membership for all scheduling.
- Communicate with the chosen photographer.
- Schedule dates for photography and notify all members of those dates (several times).
- Make sure that members send their projects to the photographer.
- Respond when members send projects late.
- When photography is complete, archive all photographs on Dropbox.
Print Catalog for Themed Project
- Work with the chosen graphic designer.
- Collect and edit all member information for each project. Put that into a form that the graphic designer can use. Proofread all drafts.
- When draft is complete, upload the files to the chosen printer.
- Order and arrange for delivery of books.
- When books arrive, mail each member a copy. Keep some copies for museum curators, etc.
Exhibitions
- Communicate with members
- Plan, and coordinate shipping to/from location,
- Coordinate with exhibition committee, museums etc.
- If necessary, be the contact for caterers, display fixture companies, order security if needed.
- Arrange for shipments to the ANGMM in Tucson.
Monthly Zoom After Hours Chats
- Schedule monthly after hours chats on zoom.
- Act as Zoom host and meeting facilitator.
- Send Zoom link email to members.
- Send reminders with Zoom link to members as the meeting date approaches.
Archives
- Maintain archive of Projects in Dropbox
- Update and maintain other AJDC business and documents on Dropbox.
Website
- Upload all member information, news, and photographs, particularly the Annual Project photos, to the website. Training will be provided.
- Serve as contact person with website designer.
Manage AJDC accounts
- Google Workspace (Docs, Sheets, Slides, Calendar and Email)

COMPENSATION
$30 per hour for approximately 30 hours per month
